How to Schedule Insurance Inspections Without Losing a Day
By Kevin Sodke
Scheduling is where a lot of field days are won or lost before you ever leave the driveway. Here is the method I use, in order.
1. Know each carrier's contact deadline
Every carrier sets its own guidelines for first contact and inspection timing. Keep them in front of you. Your schedule has to meet the strictest one in your stack, not the average.
2. Map the claims before you call anyone
If you call insureds in the order assignments arrived, you will book a Tuesday in one county and a Wednesday on the other side of it. Put every claim on a map first and group them by area. Then call one area at a time so the appointments you book already make a route.
3. Set a daily target you can actually hit
Decide how many inspections you will run each day based on claim type and drive time, not on how many claims are waiting. A day you can finish beats a day that rolls three inspections into tomorrow.
4. Offer windows, not exact times
Give insureds an arrival window that fits the route you built. It keeps your day flexible when one inspection runs long.
5. Confirm the day before
A reminder the day before cuts down on no-shows and locked gates. A text works better than a voicemail for most insureds.
6. Leave room for reschedules
Something always moves. Keep a little slack in each day so a reschedule does not force you to rebuild the whole week.
7. Log every contact attempt on the claim
Calls, texts, voicemails, and no-answers all belong in the file with a date and time. If the timeline on a claim is ever questioned, that log is your record.
Doing this with Claim Route 360
I built Claim Route 360 to handle this exact workflow. It maps your claims, lets you set a daily target, and builds the routes before you schedule. On the Elite plan it sends automated reminders and intro texts from a business number, and every call and text is saved to the claim. Pro and Elite include a 14-day free trial.
FAQ
Should I schedule inspections before or after building my route?
Build the route first. Grouping claims by area before you call means the appointments you book already fit together.
What is the best way to confirm an inspection appointment?
Send a reminder the day before. A text is usually seen faster than a voicemail.
How do I prove I met a carrier's contact deadline?
Log every contact attempt on the claim with the date and time, including calls that went unanswered.
